Registration

What is included in the registration cost?

Whatever conference pass you choose, registration includes:

  • All sessions for the days that you are registered
  • Guest keynotes
  • Lunch
  • Evening events, which include, food, refreshments, entertainment and transportation when applicable on Sunday, Tuesday, Wednesday and Thursday
  • Industry-specific social events / receptions
  • “Swag bag,” which includes Hyland-branded items like insulated travel mugs, t-shirts and pens
Is there a discount for international attendees?

Yes. To help offset the high cost of traveling internationally, all non-U.S. registrants receive a 20 percent discount off the current pricing. The discount is automatically applied at registration.

The discount only applies to the conference registration fee and is not applicable toward guest fees, hotel, airfare, etc. All attendees are responsible for their hotel and transportation costs.

Can I use my Training/Reseller Credits to pay for my registration costs?

Yes. If you have training/reseller credits that you would like to use, please contact the registration manager at CommunityLIVE@hyland.com for assistance on applying those credits to your balance due.

Are there any other discounts available?

Additional discounts may be combined if eligible.

Alumni — Save $200 if you attended CommunityLIVE 2014-2018, or Inspire 2017. The discount will be automatically applied and is nontransferable.

Group 3+** — Save $200 per person with three (3) or more paid* attendees from the same organization when signing up multiple attendees concurrently.

Please note that the 3+ group discount will not automatically be applied if more people from your organization register separately.

Group 10+*** — Save $400 per customer when registering ten or more paid* attendees at the same time for the same conference pass type (CommunityLIVE Five, CommunityLIVE, or Technical Training). Partners are not eligible for 10+ discount.

International — Attendees from non-U.S. countries save 20 percent off registration fees. The discount is automatically applied at registration.

*All attendees counted toward the group discount must provide payment to be eligible. Attendees using free or greatly reduced courtesy passes will not count toward either group registration discount program.

**Please note: If you are registering multiple people online, in order for the automatic discount to work properly, all registrants must have the same admission item. If not, please contact CommunityLIVE@Hyland.com for a manual code to register everyone separately.

***Please note: Customers that plan to send 10 or more paying attendees to CommunityLIVE can request a discount code that they can apply during checkout. This discount is not available without a code. Please contact CommunityLIVE@Hyland.com for your manual code. Partners are not eligible for this discount.

What if I qualify for more than one discount? Can I have both?

Yes. Let's say you attended our conference in 2016 and you are attending with two additional people from your organization this year. You will save a total of $400 on your registration - $200 for the alumni discount and $200 for each group member that qualifies. Of course, if the other two folks from your organization also attended CommunityLIVE sometime in 2014-2018, or Inspire 2017, they'll qualify for that alumni discount as well!

When is the last day I can register for the conference?

Online registrations are accepted until 11:59 p.m., Saturday, September 14. On-site registration at the Huntington Convention Center begins at 7:00 a.m., Sunday, September 15.

Please note: On-site registration prices are more expensive than early bird or advanced conference rates, so make sure you book early!

What are the hours for the conference's on-site registration desk?

The registration desk, located in the concourse level of the Huntington Convention Center will be open beginning Sunday, September 15 for attendees to check in and pick up conference materials. The registration desk will be staffed throughout the conference as follows:

  • Sunday 7:00 a.m. - 5:00 p.m.
  • Monday - Wednesday 8:00 a.m. - 5:15 p.m.
  • Thursday 8:00 a.m. - 5:00 p.m.
I missed the online registration deadline. Where can I register on-site?

Attendees will be able to register on-site using a credit card at the conference registration desk located in the concourse level of the Huntington Convention Center.

Please note: In order to receive your conference badge, payment must be processed on-site.

Can prospective customers attend the conference?

Of course! CommunityLIVE is the perfect opportunity to see how Hyland products and solutions work in a variety of settings and applications while meeting and talking with users and employees to get the "inside scoop." Please work directly with your account manager to complete the registration form.

Am I automatically registered for the conference if I received an invitation?

No. You still need to register. Please visit the Registration page to begin!

Are there restrictions for Government / Public Sector Employees?

There may be food, refreshments and other items available at no additional charge during the event. It is the responsibility of all government or public sector employees, officials or their representatives to confirm that their attendance at this event is in compliance with all applicable statute, laws, regulations, and your employer’s policies related to gifts, meals, entertainment and ethics. By attending this event, you certify that your employer has approved your attendance at this event and that you will abide by all such laws and policies in connection with your participation.

Sessions & training classes

Will there be Perceptive-related content or sessions at CommunityLIVE? Do I need to pre-register for classes?

Pre-registration is only required for the Advanced Hands-on Training classes on Sunday and Monday, due to limited computer availability. You will select those classes on the registration form. Attendees do not need to pre-select classes held during the main conference, Tuesday through Thursday; however, you may wish to build your personal agenda to plan your week using the conference mobile app, available a few weeks before the event.

Can I renew my certifications this year? If yes, how?

Yes. We offer the following re-certifications at CommunityLIVE:

  • System Administrator (OCSA)
  • Advanced System Administrator (OCASA)
  • Workflow Administrator (OCWA)
  • Advanced Workflow Administrator (OCAWA)
  • WorkView (OCWV)

For OnBase Certified System Administrators and Advanced System Administrators: Attend the System Administration re-certification course offered on Sunday or Monday.

For OnBase Certified Workflow Administrators and OnBase Certified Advanced Workflow Administrators: Attend courses on Sunday and Monday training that are relevant to your Workflow solution. Because many components are related to Workflow, individuals can attend any two sessions during Sunday and Monday to renew their certification.

For OnBase WorkView Certification: Attend any courses at Sunday and Monday training that are relevant to your WorkView solution. Because many components are related to WorkView, individuals can attend any two sessions during Sunday and Monday to renew their certification.

What is the format (intended audience, duration, overview or actual hands-on training, prerequisite requirements, certification tests) for the Hands-on Technical Training sessions on Sunday and Monday?

Sunday and Monday are split in to morning and afternoon sessions - so each attendee would attend two classes on Sunday and two classes on Monday. Typically, the attendees are technical and have some OnBase experience, although there are sessions intended for beginners. There will be about 14 tracks to choose from each day. Classes held Sunday and Monday are 3.5 hours in length.

How do training sessions at CommunityLIVE differ from those at TechQuest?

TechQuest doesn't offer the same number of classes. TechQuest typically has about 120 technical attendees — so the classes are smaller. CommunityLIVE will have several hundred people in attendance Sunday and Monday and over 2,000 attendees Tuesday through Thursday.

Which training sessions will be presented during the conference sessions at the main conference Tuesday through Thursday? How might that format and content differ from the Hands-on Technical Training sessions?

Tuesday through Thursday at CommunityLIVE is not considered training — the format consists of fast-paced, high-level presentations. There ARE self-paced, hands-on labs available all day, but they are not true classes. Hands-on Technical Training on Sunday and Monday is — with the exception of two tracks — hands-on, instructor-led training.

How many of the morning sessions can I attend each day?

Sunday and Monday Hands-on Technical Training: There is one morning and one afternoon session, each about 3.5 hours in length.

Tuesday - Thursday: There will be multiple sessions, and each session is about 45 minutes in length.

How can I learn more about something I heard in classes or sessions?

We'll have 40-plus Expert Stations in CommunityCENTRAL located in Exhibit Hall A of the Huntington Convention Center. Please visit the industry or solution station related to your question and a Hyland expert will work with you to ensure you have all the information you need.

Will I have access to the conference presentations?

Select sessions from CommunityLIVE will be available after the conference through Hyland Community.

How will customer presenters be chosen and notified?

We will notify customers via email to let them know if their presentation was selected. Selected presenters will receive a discount code upon notification.

I’m seeing acronyms like VOGUE, OSEG and PCAT on the session list. What do these mean?

These are User Groups that you are welcome to join to network with fellow users based on your industry or role. A VOGUE is a Vertical OnBase Group of User Experts. There are VOGUEs for the following industries: Healthcare, Higher Education, Insurance, Government, Financial Services and Credit Unions. OSEG is the OnBase Solutions Expert Group which is open to users in any industry, and particularly those interested in back office applications such as AP, AR and HR. PCAT is the Perceptive Client Advisory Team comprised of Perceptive Content users, which are mostly Higher Education-focused, but all are welcome.

Hotel & travel

Where is the conference hotel?

The guaranteed group discount for our hotel blocks has now passed, as our block is closed. However, there are hotels that may still offer the group discounted rate based on availability. Please review the available options, and call the Cleveland hotel of your choice to inquire if the group rate is still available. When calling, please note you are with the CommunityLIVE conference.

Do I need to make my own hotel reservations?

Can I extend my hotel stay at the same conference rate?

Yes. Conference attendees can extend based on hotel availability for three (3) days pre- and post-peak dates of Friday through Sunday, September 13-15, 2019, and Thursday through Saturday, September 19-21, 2019.

When is hotel check-in and check-out?

Hotel check-in and check-out time will vary by hotel.

What is the hotel cancellation policy? Will they charge my card when I book?

A deposit equal to one night's stay and tax is required to hold each individual's reservation. Cancellation policy will vary by hotel.

What airport should I fly into?

At the conference

What is proper attire for the conference?

September temperatures in Cleveland range from a high of 74 to a low of 60. Please dress comfortably and casually for all sessions and events, keeping in mind that layers work best for classes, where room temperatures often vary. Evening events may be held outside and shorts are appropriate. Comfortable shoes are suggested as well.

Will there be any merchandise for sale?

Yes. CommunityLIVE, Hyland and OnBase gear will be for sale in CommunityCENTRAL, Tuesday through Thursday. Of course, we'll have some surprises for you in your conference "swag bag" too!

The food at the conference doesn't meet my dietary needs. What should I do?

During the registration process, please note any specific dietary needs. When onsite, at any point when you feel the food available does not meet your dietary requirements, please make sure you contact a banquet team member. They will provide you with other options to suit your needs.

Will there be plenty of refreshments during the day?

During Hands-on Technical Training on Sunday and Monday, refreshments will be provided in the foyer areas outside of the meeting rooms throughout the day. Because these sessions do not have specific break times, beverages are provided continuously.

During CommunityLIVE days on Tuesday through Thursday, refreshments will be provided during specified "refreshment break" times. These breaks will take place in CommunityCENTRAL, located in Exhibit Hall A.

Beverages will also be provided during lunch each day.

Is there parking available at the Huntington Convention Center/Hilton Cleveland Downtown?

The Huntington Park Garage has 425 parking spaces and is directly connected to the Hilton Cleveland Downtown. This connection is conveniently located at the Convention Center and Hilton connector. In addition, there are over 5,000 parking spaces near the Huntington Convention Center and other public garages within walking distance. View a 3D map to see all the options.

When and where is CommunityLIVE 2020?

CommunityLIVE 2020 will be held September 13-17 at The Gaylord Opryland Resort and Convention Center in Nashville, TN.

Is there a mobile app available for the conference?

Yes! There will be a mobile app available for download a few weeks prior to the start of CommunityLIVE. You’ll be able to use the mobile app to create your own unique schedule, view our social activity feed, connect with other attendees, complete session surveys for prizes*, wayfinding and much more!

Watch your email inbox for notification once the mobile app has launched. We will notify all registered attendees and give instructions on how you can download the mobile app from your iOS or Google Play app store.

*Attendees from public sector organizations are not eligible to win prizes.

Conference policies

Does Hyland have a Code of Conduct?

When are payments due for attendance and sponsorship?

All payments for registration fees and/or sponsorship fees must be paid in full in order to attend/exhibit at the conference. Any participant with an unpaid balance will be required to pay their outstanding balance via a credit card on-site at CommunityLIVE.

I noticed photographers and videographers at the conference. Will my picture appear anywhere?

Photographs and videos will be taken during the conference for use in future promotional materials, and your image may appear in future Hyland marketing materials. By attending the event, you consent to Hyland’s use of photographs and other images of you for all Hyland-related business, including use in promotional materials, marketing efforts and productions, and training or educational materials or courses, without limitation.

Can I bring family and friends to the conference?

Guests are permitted but must meet the same qualifications as attendees, and must be registered and paid for separately.

Customers and partners are not permitted to attend the conference with a guest pass. Guest passes may only be used by friends or spouses, 21 and over, who are not employed by a Hyland customer or partner.

Sunday Guest Pass
This guest pass is for those who only want to attend Sunday's lunch and training reception.

Monday Guest Pass
This guest pass is for those who only want to attend Monday's lunch (There is no evening event this day).

Tuesday Guest Pass
This guest pass is for those who only want to attend Tuesday's lunch and welcome reception.

Wednesday Guest Pass
This guest pass is for those who only want to attend Wednesday's lunch and evening event.

Thursday Guest Pass
This guest pass is for those who only want to attend Thursday's lunch and evening event.

Guest passes may be purchased online through the Registration page on or before September 14, or onsite at the Huntington Convention Center of Cleveland. Credit cards only. Please see guest pass pricing information here.

Please note: Guests must be 21 or older to attend meals and conference events. Children of any age are not permitted in any CommunityLIVE areas including registration, meals, breaks, sessions, receptions, exhibit space, etc.

What is the conference cancellation policy?

Cancellations made on or before July 19 will be refunded at 100%. Cancellations made from July 20 through August 29 will be refunded at 50%. Cancellations made after August 29 will not be refunded. Cancellations made within a group registration may disqualify other members from receiving the group discount, if the organization does not then meet the group discount requirements. Substitutions welcome. Substitutions will be accepted via the online registration system and must be made on or before September 15. Paid registrants who do not submit an online cancellation by the deadline, fail to send a substitute or do not attend the conference forfeit their entire registration fee. If a substitution is required after September 15, please email CommunityLIVE@hyland.com.

Individuals are responsible for canceling their own hotel and travel reservations. Hyland does not accept liability for hotel or travel costs. If you cancel and re-register, your new registration will reflect the current pricing as of the date of your final registration. Earlier registration pricing (such as early-bird pricing) may not be honored based on that date.

Will attendees need to bring identification to any CommunityLIVE events?

Yes, attendees and guests are required to bring age-verifying identification to any function with alcohol, including:

  • Pub Quiz
  • Welcome Reception
  • Rock and Roll Hall of Fame
  • Cleveland Indians Game

Accessibility

Are there private rooms available for nursing mothers?

The Huntington Convention Center offers two “Mother’s Pods” for nursing moms. There is one located outside of Meeting Room 9 on the Exhibit Hall level and the other pod is next to the escalators/elevators that lead you from the Atrium level down to the Concourse level. Please remember to come prepared with a cooler as there is no refrigeration provided.

For those who are looking to ship breast milk to their home, we recommend this third-party option:

Milk Stork is the first-ever breast milk shipping company for business traveling, breastfeeding moms.

  • Milk Stork requires at least one business day to process an order, and one business day to ship the order to the destination. U.S. Domestic shipping only.
  • Breast milk transportation services are provided by Milk Stork, an unaffiliated third party. In order to utilize these services, you will be required to provide personal information directly to Milk Stork.

Where is parking available for the Huntington Convention Center?

The conference center lot provides handicap parking spaces based on Ohio laws. For detailed information regarding parking options for the conference, please see our Travel page.

Is CommunityLIVE service pet friendly?

Service pets are permitted at the conference and there is a large grassy area directly outside of the Huntington Convention Center for pet relief. Check with your designated hotel concierge to inquire their policy on pets.

Does the Huntington Convention Center provide scooters/wheelchairs for attendees?

The convention center does not have scooters/wheelchairs on-premises for attendees, but you can rent them for conference use here:

Also note, there is nowhere at the convention center to store/lock up the scooters and wheelchairs overnight.

Is there reserved seating at the General Sessions for wheelchairs and scooters?

Floor seating is available for guests with mobility concerns. Please see an usher on-site if you need assistance finding a spot.
